Financed asset and contractual condition monitoring system

The employee sees the contract, supplier and transfer documents at the funded property. He can check which conditions of acquisition, registration or insurance have not yet been fulfilled.

The description of the assets being funded, the supplier's details, insurance and registration documents are not always linked to the same application and contract. The flaw can only become apparent when preparing funding or transferring assets. Employees repeatedly gather information and it is unclear to the client when his transaction will be completed.

How the solution works

  1. Link funded assets to the application and existing contract
  2. Establishing the terms and conditions applicable to the transaction
  3. Gather evidence of their execution
  4. Register transfer and contract events
  5. Verify replacement or final transfer of assets

Key challenges

  • Data of the funded object not linked

Solution capabilities

Funded Object Data

Stores identifiers, set-ups and sources. Changing supplier's bid does not create an undetected other funded object.

Sequence of conditions

Each clause specifies whether it is necessary for the contract, payment, transfer, or to be fulfilled at a later date. All types of assets do not follow a uniform recording sequence.

Property and Rights Facts

Separates the actual transfer, registration record, ownership or collateral right and funding relationship. The presence of the document does not in itself confirm all these facts.

Prohibitions and Amendments

Observes the protection and validity provided in the contract, change of recipient or object; transfers the significant discrepancy to the responsible employee.

End of contract

Manages redemption, repayment or cancellation of collateral documents by transaction. All payments and all formalities for the transfer of assets are checked separately.

Business context

Data of the funded object not linked
The description of the assets being funded, the supplier's details, insurance and registration documents are not always linked to the same application and contract. The flaw can only become apparent when preparing funding or transferring assets. Employees repeatedly gather information and it is unclear to the client when his transaction will be completed.
Transfer of assets compatible with financing conditions
The buyer and the supplier plan a transfer based on the investor's approvals. The missing documents or outstanding conditions are visible to allow them to be discussed before the agreed date. There is less uncertainty for the customer, and it is easier for the seller to coordinate the settlement and transfer the prepared object.

Potential impact (%)

The ranges indicate an illustrative relative change in the metric under the stated assumptions. Results depend on the starting position and actual use of the solution. Percentages for different metrics must not be added together.

Number of contracts with non-timely verified property data

5–25%Decreasing

This illustrative scenario assumes that 20-50% of missed actions can be identified through task and deadline tracking. That share is assumed to fall by 25-50%. Company data is needed to verify both the addressable share and the resulting change.

To calculate active contracts, the necessary fact of the property has not been verified at the end of its term.

Waiting for payout due to internal data gaps

6–25%Decreasing

This illustrative scenario assumes that 20-50% of waiting caused by missing information or unclear responsibility can be addressed. That share is assumed to fall by 30-50%. Company data is needed to verify both the addressable share and the resulting change.

Measure hours of work when the payout is waiting for an internal arrangement of the asset data alone.

Conditional calculation scenarios. The assumptions have not been validated against client measurements.

When this solution is relevant

  • The condition of the property, insurance, or other contractual conditions are checked by employees in several systems.
  • The changed property data does not reach the employees responsible for the performance of the contract in a timely manner.

Project scope and implementation

Control data is associated with the asset being funded and its contract. If the leasing system used already manages the property's history, it is only supplemented by missing data or checks. A double register of assets and contracts is not created.

Further development options

  • Other categories of assets for which the logic of conditions and registration is separately described.
