Construction equipment rental management system

The rental team combines technical reservation, delivery and return. The time offered to another customer is checked against the condition of return and preparation works.

When booking, the planned return is visible, but not the impact of verification, preparation and already known technical restrictions on another issue. The customer is promised a unit or quantity that cannot be prepared at the agreed time.

How the solution works

  1. The rental team checks the correct kit, readiness forecast and delivery capability.
  2. The issue preserves the actual set-up and condition.
  3. The returned quantity and verification response update the end of the lease and further availability.

Key challenges

  • Technical availability is inaccurate
  • The rental order is accepted manually
  • Delivery and pickup logistics planned manually
  • Oversight not matched with reservations
  • The state of transmission and return is recorded unevenly

Solution capabilities

Set & Reservation

The type of equipment being checked, the accessories needed, the period and the agreed price conditions. The category reserve is separated from the specific unit assignment.

Care and readiness forecast

Planning receives the current limitation of failure or maintenance, usage readings, and expected return times from verified sources.

Delivery to the object

Equipment availability is combined with transport capacity, unloading conditions and facility reception times.

Issue and condition

The employee checks the unit or quantity, attachments and condition. Photos and notes remain linked to a specific transfer.

Repayment and settlement

Partial repayment only completes the relevant portion of the lease. The breach is passed for evaluation, and the surcharge has a contractual and actual basis.

Business context

Technical availability is inaccurate
When booking, the planned return is visible, but not the impact of verification, preparation and already known technical restrictions on another issue. The customer is promised a unit or quantity that cannot be prepared at the agreed time.
The rental order is accepted manually
The need for a lease from the call is rewritten several times, separately combining the set-up, price and period. The accessory or transportation condition necessary for the work may go unnoticed. The customer waits longer for the offer, and the missing element becomes apparent upon withdrawal. The team promptly changes the order, although the contractor has already clung people and works together.
Delivery and pickup logistics planned manually
Delivery is planned without checking transportation capacity, object reception time and other routing obligations. Equipment readiness in the warehouse is supported by sufficient delivery approval. The equipment does not reach the construction site at the agreed time or cannot be unloaded. The customer's brigade is waiting, and the rental team has to combine an additional flight or new time.
Oversight not matched with reservations
The maintenance solution and reliable usage display do not reach the rental planner in time or the display gap is supported by zero use. Designated limited-fit equipment or ready-made equipment without a base remains unavailable.
The state of transmission and return is recorded unevenly
The evidence of issue and return is not related to the same unit or quantity of elements and to the specific transfer. It is enough to restore the set-up and condition, and the examination of reasonable nonconformity is protracted.
Contractor reserving the equipment prepared for work
The customer plans people and construction work according to the arrival of the equipment. When the reservation is linked to the return condition, preparation and logistics, the term becomes more reasonable. A clear record of the transfer also helps to agree on responsibilities in advance and resolve issues when returning equipment.

Potential impact (%)

The ranges indicate an illustrative relative change in the metric under the stated assumptions. Results depend on the starting position and actual use of the solution. Percentages for different metrics must not be added together.

Order preparation and repair work

12–36%Decreasing

This illustrative scenario assumes that 30-60% of manual data entry and handover work can be addressed. That share is assumed to fall by 40-60%. Company data is needed to verify both the addressable workload and the resulting change.

All the administrator's work prior to the order being executed is measured, including subsequent data corrections.

Delays in maintaining status update

6–25%Decreasing

This illustrative scenario assumes that 20-50% of waiting caused by missing information or unclear responsibility can be addressed. That share is assumed to fall by 30-50%. Company data is needed to verify both the addressable share and the resulting change.

The time from the technical decision to its adoption in the rental system and review of the reservation is measured.

Transmission Data Refinement Work

6–25%Decreasing

This illustrative scenario assumes that 20-50% of waiting caused by missing information or unclear responsibility can be addressed. That share is assumed to fall by 30-50%. Company data is needed to verify both the addressable share and the resulting change.

The filling of the site worker and subsequent adjustments of the administrator for a similar set are measured.

Part of technical lease requests that have turned into an existing lease

2–10%Increasing

Sample starting part - 50%. Assumption: 10-25% of the remaining cases involve unverified readiness of rented equipment; a solution would help solve 20-40% of these cases.

The leases actually started are divided by all comparable technical lease requests. The technical group and the season are taken into account.

Conditional calculation scenarios. The assumptions have not been validated against client measurements.

When this solution is relevant

  • The equipment is promised for tomorrow, although the car carrying it has already been assigned to another object at that time.
  • The customer extends the lease, but the change does not reach the next booking and preparation plan.
  • The equipment prepared after the repair is shown in the rental table for another two days as unavailable.
  • Changing the working hours counter is understood as less accumulated use and replaces the service plan.
  • The photo is on the employee's phone, but it is unclear at which time of issue and for which device it was made.
  • When part of the set is returned, the entire order is closed or the whole quantity is mistakenly left rented.

Implementation requirements

We accept rental units, accessories and kits. Reservations assess possible return delays, repairs and transportation. Returning a part of the kit updates the remaining rent and availability of inspected units.
